Terms of Use

These Terms of Use govern participation in VIMUN (Voices for Impact Model United Nations) and the use of the VIMUN registration platform. VIMUN is an educational and cultural project organised by Voices for Impact, an association established under Italian law. By creating an account, submitting an application, or registering for a VIMUN conference, you confirm that you have read and accepted these Terms of Use.

1. Purpose

VIMUN provides students and participants with the opportunity to take part in a Model United Nations conference and related educational activities. The VIMUN platform allows participants to:

  • discover VIMUN conferences and editions;
  • submit an application;
  • complete their registration;
  • track the status of their application and registration;
  • pay participation fees; and
  • receive their participation certificate.

2. Eligibility and User Account

Participation in VIMUN conferences is reserved for individuals aged 18 or over, unless otherwise expressly stated for a specific edition. Participants must provide accurate, complete, and up-to-date information when creating an account and submitting an application. Each participant is responsible for:

  • keeping their account credentials confidential;
  • ensuring that the information provided to VIMUN is accurate and up to date; and
  • all activities carried out through their account.

Participants must not use another person's account or provide false or misleading information.

3. Application and Admission

Submitting an application does not guarantee admission to a VIMUN conference. Applications may be:

  • accepted;
  • placed on a waiting list; or
  • rejected.

Admission decisions are made by the VIMUN organisation based on the available places, the requirements of the conference, and the overall organisation of the event. Where applicable, participants may indicate preferences regarding committees or other aspects of the conference. Such preferences do not guarantee assignment to a specific committee. Committee assignments are determined by the organisation. A committee may not be activated if the minimum number of registrations required to operate it is not reached.

4. Participation Fees and Payment

Participation fees depend on the package selected by the participant and are displayed during the registration process. The VIMUN registration period opens on 25 September 2026. Unless otherwise specified, the participation fee is payable in one, two or three instalments.

  • First instalment: 30% of the total, due 10 days after the participant receives the email confirming acceptance of their application;
  • Second instalment: 35% of the total, due on or before 10 January 2027;
  • Third instalment: 35% of the total, due on or before 15 February 2027.

Payments may be made through the payment methods made available by VIMUN, including: Stripe for card payments; or bank transfer, where available. The applicable participation fee is the amount displayed to the participant during the registration process.

Registrations made after 15 February 2027

Participants who register after 15 February 2027 must pay the full participation fee in one single payment. Amounts paid for registrations made after 15 February 2027 are non-refundable if the participant cancels their registration, subject to any mandatory rights provided by applicable law.

5. Cancellation and Refunds

Participants who wish to cancel their registration must submit a written cancellation request to: contact@voicesforimpact.eu. VIMUN makes advance financial and logistical commitments in connection with the organisation of the conference, including accommodation, venues, catering, transportation, materials, and other services. For this reason, the following cancellation policy applies.

Cancellation within 30 days of payment of the first instalment

Participants who cancel their registration within 30 days from the date of payment of the first instalment will be eligible for a refund of the first instalment already paid, subject to any mandatory rights provided by applicable law.

Cancellation after the 30-day period

Participants who cancel their registration after 30 days from the date of payment of the first instalment will not be eligible for a refund of amounts already paid, subject to any mandatory rights provided by applicable law. Where the second instalment has already been paid, it will also be non-refundable.

Registrations made after 15 February 2027

Participants registering after 15 February 2027 are required to pay the full participation fee in a single payment. As these registrations take place after the third-instalment deadline, amounts paid are non-refundable if the participant cancels their registration, subject to any mandatory rights provided by applicable law.

Cancellation or non-activation by VIMUN

If a committee or the entire VIMUN edition is cancelled or not activated because the minimum number of registrations required to operate it is not reached, all participation fees already paid will be refunded in full. Refunds will normally be made using the same payment method used for the original payment, unless otherwise agreed or required by applicable law.

6. Right of Withdrawal

Under the Italian Consumer Code (Legislative Decree No. 206/2005), consumers generally have a 14-day right of withdrawal for contracts concluded at a distance. However, Article 59, paragraph 1, letter n), of the Italian Consumer Code excludes the right of withdrawal for certain services relating to leisure activities where the contract provides for a specific date or period of performance. VIMUN conferences are organised for specific dates and participation is linked to the scheduled conference period. Accordingly, where the conditions set out in Article 59(1)(n) are met, the statutory 14-day right of withdrawal does not apply to participation in the conference. Participants remain subject to the cancellation and refund policy set out in Section 5, including the possibility of requesting a refund of the first instalment within 30 days from the date of payment, subject to any mandatory rights provided by applicable law. Where applicable law requires VIMUN to provide information regarding the exclusion of the right of withdrawal, such information is provided through these Terms of Use and the registration process.

7. Participant Conduct

VIMUN is an educational project based on participation, debate, cooperation, and mutual respect. Participants agree to:

  • comply with the rules and procedures communicated by the organisation;
  • treat fellow participants, delegates, organisers, speakers, staff, and partners with respect;
  • behave responsibly and professionally;
  • follow reasonable instructions given by the organisers;
  • respect the conference schedule and organisational requirements; and
  • uphold the principles and spirit of Model United Nations.

The organisation may take appropriate measures in cases of serious or repeated violations of the conference rules or standards of conduct, including the removal of a participant from the conference where necessary. Where a participant is removed from the conference due to serious or repeated misconduct, participation fees will generally not be refundable, subject to any mandatory rights provided by applicable law.

8. Changes to the Conference

VIMUN reserves the right to make reasonable changes to the conference programme, schedule, committees, speakers, venues, or other organisational arrangements where necessary for logistical, operational, safety, or other legitimate reasons. Where a significant change materially affects the participant's registration, VIMUN will provide appropriate information to the participant and will comply with any applicable legal obligations concerning cancellation, refunds, or other remedies.

9. Force Majeure

VIMUN will make reasonable efforts to ensure the proper and smooth running of the conference. However, VIMUN cannot be held responsible for delays, interruptions, changes, or cancellations resulting from circumstances beyond its reasonable control, including events of force majeure. Such circumstances may include, where applicable:

  • natural disasters;
  • extreme weather events;
  • public-health emergencies;
  • governmental or regulatory measures;
  • strikes;
  • major transportation disruptions;
  • war or civil unrest; or
  • other circumstances that could not reasonably have been prevented or anticipated.

Nothing in these Terms of Use excludes or limits any liability that cannot legally be excluded or limited under applicable law.

10. Certificates

Participants who successfully attend and complete the requirements of the VIMUN conference may receive a participation certificate. The organisation may determine the conditions for receiving a certificate, including attendance and participation requirements.

11. Governing Law and Jurisdiction

These Terms of Use are governed by Italian law. Any dispute arising out of or in connection with these Terms of Use shall be subject to the jurisdiction of the competent courts in accordance with applicable law. Where a participant qualifies as a consumer, any mandatory consumer-protection provisions concerning jurisdiction and applicable courts shall remain fully applicable. Where permitted by applicable law, the courts of the organisation’s registered office in Milan, Italy, shall have jurisdiction.

13. Fairness and Transparency of Contractual Terms

These Terms of Use are intended to be clear, transparent, and easily accessible to participants. Nothing in these Terms of Use is intended to exclude or limit any mandatory rights granted to participants under applicable Italian or European law. Where applicable, any provision that may be subject to specific requirements under Italian consumer-protection law, including provisions concerning unfair or unfairly burdensome contractual terms, shall be interpreted and applied in accordance with such requirements. In particular, the cancellation and refund provisions set out in Section 5 are intended to clearly inform participants, before registration and payment, of the financial consequences of cancelling their participation. If any provision of these Terms of Use is found to be invalid, unenforceable, or contrary to mandatory law, the remaining provisions shall remain in full force and effect to the extent permitted by law.
